Panoptic is led by two creative people from very different backgrounds who came together with a singular focus of building high-quality, durable museum exhibits and a fun and energizing business. Our work environment is a collaborative community with lots of hands-on troubleshooting and frequent discussion. STUDIO OPERATIONS MANAGER
Employment start date: Between September 15 - December 1, 2026 (flexible)
Panoptic Design/Build is seeking a Studio Operations Manager to handle the operations of this growing creative business. We are looking for a self-motivated, friendly person to handle a wide range of tasks to support us in designing and building awesome museum exhibits for kids and families.
Official Duties:

Financial tracking/bookkeeping
-
Maintaining legal compliance for the company
-
Invoicing
-
Documenting process, procedures, and projects
-
Procurement and Inventory management
-
Scheduling
-
Improving processes to increase efficiency
-
Arranging logistics for installs and in-person client meetings
-
Assisting with proposals and quotes
-
Compiling info for exhibit manuals
-
Updating our website and social media
-
Helping to maintain a tidy and manageable work area
-
Event planning
-
We may ask for help with moving, packing, or loading as necessary
-
Possible opportunities for basic shop work as necessary
Requirements:
-
Minimum 3 years experience in office management and administration.

Experience handling financial matters, legality, compliance, and bookkeeping for small businesses

Familiar with Quickbooks
-
Familiar with Google Workspace Apps, namely Sheets, Docs, Drive, and Gmail.
All the better:

Familiar with website building apps (we use Wix)

Familiar with social media platforms, particularly Facebook, Instagram, and LinkedIn.

Experience in nonprofits or museums, creative businesses,

Other unique backgrounds enthusiastically welcomed!
We’re looking for someone who is:

Willing to work mostly out of our office in West Springfield (willing to discuss limited work-from-home hours)

Compensation

Full Time, hourly
-
$27/hr, non-exempt (negotiable)

Some flexibility with work hours

8 hrs of sick time accrued per month of employment, capped at 60 hours

6 paid holidays per year
-
Starting with 1 week paid vacation per year
